A practical guide for expats who receive a German letter from the Agentur für Arbeit and need to understand the sender, deadline, requested documents and next steps before an appointment.

Receiving an official-looking German letter can be stressful—especially when it contains a deadline, an appointment or several pages of administrative language.

But the first step is not to translate every word immediately.

Before you reply, upload documents or go to an appointment, identify what kind of letter you received, who sent it, what action is actually requested and whether there is a deadline.

This guide explains how to prepare.

1. Check who actually sent the letter

The first thing to look at is the sender.

A letter from the Agentur für Arbeit is not necessarily the same as a letter from the Jobcenter, even though both are connected with the Bundesagentur für Arbeit system.

The Agentur für Arbeit is responsible for matters including Arbeitslosengeld I, job-seeker registration and employment counselling. Jobcenters administer the means-tested Grundsicherungsgeld, which replaced Bürgergeld from 1 July 2026. During the transition, older terminology can still appear in forms or correspondence.

You may also receive correspondence from the Familienkasse or another BA department.

Before asking someone to help with the letter, note:

  • the exact sender;

  • the office or department;

  • your Kundennummer or other reference number;

  • the date of the letter;

  • every deadline mentioned.

This immediately makes it easier to understand what kind of support you need.

2. Identify what type of letter it is

Not every letter from the Agentur für Arbeit means the same thing.

Einladung or Termin

This usually means you have been invited to an appointment or consultation.

Check:

  • date;

  • time;

  • location or whether it is a video appointment;

  • the purpose of the meeting;

  • any documents the letter specifically asks you to bring.

Do not rely only on what you remember from a previous appointment. Read the current invitation carefully.

Request for documents

Sometimes the Agentur für Arbeit needs additional information before it can process an application or clarify your situation.

The letter may ask you to submit specific documents by a certain date.

Make a checklist directly from the letter rather than sending random documents that might not be relevant.

The BA's online account allows customers to upload documents and communicate securely with the Agentur für Arbeit. Electronic notices, letters and supporting documents can also be available there when online communication is activated.

Bescheid

A Bescheid is different from a normal information letter. It communicates an official decision.

For Arbeitslosengeld, a Bescheid may tell you whether the benefit has been approved, the amount and duration, or that an application has been rejected. The BA also issues other types of decisions when an entitlement changes or money has to be repaid.

If you do not understand a Bescheid, distinguish between:

“I need someone to explain the German”

and

“I believe the legal decision is wrong.”

Those are not the same service.

3. Do not ignore the deadline

German administrative letters often contain dates that matter.

Look specifically for language such as:

  • bis zum …

  • Frist

  • Termin

  • spätestens

  • einzureichen

  • nachzureichen

Write the deadline down separately.

If the letter is an Arbeitslosengeld Bescheid and you disagree with the decision, the BA currently states that a Widerspruch can generally be filed within one month. The exact instructions are contained in the Rechtsbehelfsbelehrung at the end of the decision. A conversation with the Agentur about the Bescheid does not replace a formal Widerspruch.

For that reason, do not wait until after an explanatory appointment to check whether a legal deadline is running.

4. Read every page—not just the first one

A common mistake is to send someone a screenshot of page one and ask:

“What do they want from me?”

The answer may be on page two.

Before asking for help, collect:

  • every page of the letter;

  • attachments;

  • forms included with it;

  • any list of requested documents;

  • related previous correspondence;

  • documents you have already submitted.

If a page contains sensitive information that is not necessary for an initial enquiry, you can redact it before sharing it. For actual case preparation, however, the person assisting you may need the complete relevant documents.

5. Prepare specifically for the purpose of the appointment

There is no single universal document list for every Agentur für Arbeit appointment.

For a first employment counselling appointment, the Bundesagentur currently recommends bringing documents including:

  • ID, or a passport together with a Meldebescheinigung;

  • your CV;

  • education and employment certificates;

  • evidence of additional qualifications;

  • your most recent application cover letter or a sample cover letter.

For people from abroad, the BA also asks for evidence of the relevant residence/work status.

But an appointment about an Arbeitslosengeld payment issue may require completely different documents.

The letter you received should therefore be your starting point.

6. If the meeting is about finding work, prepare more than documents

A counselling meeting is not only an administrative check.

The BA says that employment counselling can cover professional goals, job-search support, applications, development opportunities and possible additional support.

Before the meeting, think about:

  • What kind of job are you looking for?

  • Full-time or part-time?

  • Which roles have you already applied for?

  • What qualifications do you have?

  • Which obstacles are currently making your job search difficult?

  • Are you considering further training?

  • What do you want to achieve during this appointment?

If you are discussing Weiterbildung or a Bildungsgutschein, bring the course information and be ready to explain how it relates to your professional goal. Funding decisions remain individual and should not be treated as guaranteed.

7. Keep your job applications organised

For appointments concerning your job search, it can help to prepare a simple application list containing:

This is not a universal official requirement for every appointment. It is simply a practical way to explain clearly what you have already done.

If your letter specifically asks you to provide evidence of applications, follow the wording in that letter.

8. Check your online Agentur für Arbeit account

Your BA account can be useful before an appointment.

Depending on the services you use, it can provide access to:

  • electronic Bescheide and letters;

  • appointments;

  • messages;

  • uploaded documents;

  • applications and supporting documents.

The BA also provides the BA-mobil app for messages, appointments, digital Bescheide and document uploads.

If you previously submitted a document online, check whether you can still access it before your meeting.

That can prevent situations where both you and the adviser are talking about a document but you no longer remember exactly what you sent.

9. Send questions about benefits to the right place

The BA separates communication about benefit matters from employment-placement communication.

Its guidance for the Leistungspostfach specifically warns customers not to send Arbeitslosengeld benefit questions to the Vermittlungspostfach because employment advisers do not have access to benefit matters in the same way.

In practical terms:

Arbeitsvermittlung: job search, professional goals, applications, employment counselling.

Leistungsabteilung: questions about Arbeitslosengeld applications, calculations and payment-related matters.

Knowing which subject your letter concerns can save time.

10. If you need language support, prepare the interpreter too

If German administrative language is difficult for you, do not wait until the meeting starts to discover that important details are unclear.

Before an interpreted appointment, provide the interpreter with:

  • the complete appointment letter;

  • the topic of the meeting;

  • relevant previous correspondence;

  • your CV where employment history is relevant;

  • the course offer if Weiterbildung will be discussed;

  • the questions you want answered.

An interpreter should not need to discover the entire case while sitting in front of the adviser.

Good preparation allows the appointment to focus on communication rather than document sorting.

Can I upload documents instead of taking them to the office?

I do not understand my Arbeitslosengeld Bescheid. What should I do?
